Privacy Policy

Player2Pro Academy (“we”, “us”, or “our”) is committed to protecting your privacy and the privacy of any children attending our coaching sessions. This policy explains how we collect, use, store, and protect your personal information when you visit our website, contact us, or book onto our sessions. It applies to player2proacademy.co.uk and any related services we provide.

We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

Who We Are

Player2Pro Academy provides small group football coaching, 1-to-1 sessions, and club partnership programmes across Glasgow and the surrounding areas. For the purposes of UK data protection law, we are the data controller responsible for your personal information.

You can contact us at any time about this policy or your data by emailing player2proacademy@gmail.com.

Information We Collect

When you use our website or book a session with us, we may collect the following types of personal information:

Contact details you provide directly, including your name, email address, phone number, and any message content you submit through our contact form.

Booking and player information collected when you book a child onto a session through our embedded ClassForKids booking system, including the child’s name, age, date of birth, parent or guardian contact details, emergency contact information, and any medical conditions or additional needs you choose to share with us.

Payment information processed by ClassForKids and their payment partners when you pay for sessions. We do not store full card details ourselves.

Technical information collected automatically when you visit our website, such as your IP address, browser type, device information, pages visited, and the time and date of your visit. This is gathered through cookies and similar technologies.

Communications you send us by email, phone, social media, or through any other channel.

How We Use Your Information

We only use your personal information where we have a lawful basis to do so. The main reasons we process your data are:

To respond to enquiries and provide the services you have requested, such as confirming bookings, organising sessions, and communicating about coaching arrangements. This is necessary to perform our contract with you.

To safeguard children attending our sessions, including holding emergency contact and medical information where relevant. We rely on our legitimate interest in protecting child welfare and, where applicable, your explicit consent for any health-related information.

To manage payments and keep accurate financial records, which is necessary to perform our contract with you and to comply with our legal obligations.

To send service-related messages such as session updates, cancellations, or important administrative information, which is necessary to perform our contract with you.

To improve our website and services by analysing how visitors use the site, which we do on the basis of your consent through cookie preferences.

To comply with legal and regulatory obligations, including health and safety, safeguarding, and tax record-keeping requirements.

Children’s Information

We work primarily with young footballers, so much of the information we hold relates to children. Bookings for under-18s must be made by a parent or legal guardian, who provides consent on behalf of the child. We only collect the minimum information needed to deliver safe, appropriate coaching and to contact someone in an emergency. We never use children’s data for marketing.

If you are under 18 and have provided us with information directly, please ask a parent or guardian to get in touch with us so we can review or remove it.

Booking Through ClassForKids

Bookings and payments on our website are handled through ClassForKids, a third-party booking and management platform for kids’ clubs. The ClassForKids booking system is embedded into our website using an iframe, which means that when you fill in the booking form, the information you submit is collected and processed directly by ClassForKids on our behalf, even though the form appears on our site.

ClassForKids acts as a data processor for the booking information we use to deliver our sessions, and as a data controller in its own right for certain other activities (such as managing your parent account and processing payments). Because the form is loaded from ClassForKids, your browser will exchange information with their servers when you interact with it, including cookies needed to make the booking process work.

We have appropriate agreements in place with ClassForKids to ensure your data is handled securely and in line with UK data protection law. You can read their privacy policy at classforkids.io/clubs/legal/privacy-policy.

Sharing Your Information

We do not sell your personal information. We only share it where it is necessary and lawful to do so, including with:

Our coaches and staff, who need access to relevant information to deliver sessions safely and effectively.

Trusted service providers who help us run our business, such as ClassForKids (our booking and payments platform), our website host, our email provider, and other infrastructure providers. These providers act on our instructions or under their own legal obligations and are bound by appropriate contracts.

Partner clubs taking part in our Club Partnership Programme, where information sharing is necessary to coordinate sessions.

Regulators, authorities, or other organisations where we are required to do so by law, including in connection with safeguarding concerns.

Professional advisers such as accountants or legal advisers, where reasonably necessary.

Cookies and Website Analytics

Our website uses cookies and similar technologies to help it function properly and to understand how visitors interact with it. Some cookies are strictly necessary for the site to work, while others (such as analytics or social media cookies) are only used with your consent.

Our website is built using Elementor on WordPress, and certain pages embed content from third parties. In particular, our Book Now page embeds the ClassForKids booking system through an iframe, and our Contact page embeds Google Maps. We also link to our social media profiles on X (Twitter), Instagram, and TikTok. When you interact with this embedded content, the third-party service may set its own cookies and receive information about your visit, governed by their own privacy policies.

You can manage your cookie preferences through your browser settings at any time.

How Long We Keep Your Information

We only keep personal information for as long as we need it for the purposes set out in this policy, or for as long as the law requires. As a general guide:

Enquiry and contact form information is kept for up to 12 months, unless you become a customer.

Booking and player records are kept for the duration of the coaching relationship and for a reasonable period afterwards, typically up to 7 years, to meet our legal, safeguarding, and accounting obligations. Records held within ClassForKids are also subject to their retention practices.

Financial and tax records are kept for at least 6 years, as required by HMRC.

Once we no longer need your information, we will securely delete or anonymise it.

How We Protect Your Information

We take appropriate technical and organisational measures to keep your personal information secure. This includes restricting access to those who need it, using reputable service providers, and storing information on secure systems. While no method of transmission or storage is completely secure, we do our best to protect your data and notify you and the relevant authorities in the unlikely event of a serious breach.

Your Rights

Under UK data protection law, you have a number of rights over your personal information. These include the right to:

Be informed about how we use your data, which is the purpose of this policy.

Request access to a copy of the personal information we hold about you.

Ask us to correct information that is inaccurate or incomplete.

Ask us to delete your information in certain circumstances.

Restrict or object to how we use your information in certain circumstances.

Withdraw consent at any time where we rely on consent to process your information.

Request that we transfer your information to another provider where this is technically feasible.

To exercise any of these rights in relation to the information we hold, please email us at player2proacademy@gmail.com. We will respond within one month and may ask you to verify your identity before acting on your request. For information held within your ClassForKids parent account, you may also need to contact ClassForKids directly.

Marketing Communications

We will only send you marketing messages where you have agreed to receive them. You can opt out at any time by clicking the unsubscribe link in any email, replying to ask us to stop, or contacting us directly.

Links to Other Websites

Our website contains links and embedded content from other websites, including ClassForKids (classforkids.io), Google Maps, and our social media profiles on X, Instagram, and TikTok. We are not responsible for the privacy practices of those external sites, and we encourage you to read their privacy policies before sharing any information with them.

Changes to This Policy

We may update this policy from time to time to reflect changes in our services, technology, or the law. The latest version will always be available on our website, and we will indicate when it was last updated. If we make significant changes, we will let you know directly where possible.
